Location: New York City, Northeast Region

Reports To: Division Fleet Manager (with indirect exposure to Regional Vice President and National Fleet Director)

The Role
The Assistant Fleet Manager supports the execution of fleet operations, shop activities, safety initiatives, and maintenance programs. This role carries direct responsibility for vendor management and technician task assignment as well as for maintaining accurate, compliant fleet maintenance records.

The Assistant Fleet Manager plays a critical role in ensuring maintenance data integrity, preventive maintenance (PM) compliance, and effective coordination between fleet, operations, vendors, and technicians. This is a hands-on leadership position designed to support daily execution to ensure the Hylan Fleet can meet operations and customer expectations.

Key Responsibilities
• Ensure fleet maintenance software is accurate, current, and compliant, including timely entry of vendor invoices, complete work order documentation, and PM schedule updates.
• Communicate PM schedules, equipment status, and maintenance requirements to operations teams and vendors to ensure compliance and minimize downtime.
• Provide direct oversight of company technicians, including assigning daily and weekly maintenance and repair tasks.
• Prioritize technician workloads based on operational needs, equipment availability, and safety considerations.
• Support and enforce fleet/shop safety standards, cleanliness, and compliance with company policies.
• Coordinate and execute preventive maintenance activities in accordance with company standards.
• Review work orders for accuracy, completeness, and proper documentation prior to approval.
• Track technician productivity, labor hours, and job status within the maintenance management system.
• Coordinate with vendors on repairs, service schedules, pricing, and invoice discrepancies.
• Monitor telematics and GPS reporting and coordinate resolution of non-reporting units.
• Participate in shop and yard safety inspections, audits, and follow-up on corrective actions.
• Support technician training, mentoring, and adherence to company standards and safe work practices.
• Step into a technician role as needed during high-demand periods or labor shortages.
• Travel to yards and job sites as required to support fleet and operational needs.
• Support special projects and initiatives as assigned by fleet leadership.
• Attend leadership meetings as requested and assist with preparation of fleet operational, safety, and cost-related information.

Qualifications and Experience
• Demonstrated commitment to safety and safe work practices.
• Working knowledge of Federal DOT Regulations as it related to commercial interstate fleet.
• Familiarity with OSHA and EPA requirements related to maintenance and shop environments.
• Five (5) or more years of experience as a technician or mechanic in a truck or equipment repair environment.
• Prior experience assigning work, leading technicians, or supporting shop operations preferred.
• Ability to collaborate effectively with technicians, operations teams, vendors, and leadership.
• Experience with electronic maintenance work order and PM tracking systems.
• Understanding of shop cost drivers and basic repair cost estimation.
• Strong organizational skills with attention to detail and follow-through.
• Effective verbal and written communication skills.
• Proficient with Microsoft Office applications (Excel, Word, Outlook).
• Valid driver’s license required; CDL preferred.

Travel Requirements
Travel between business locations and job sites across multiple Northeast states (up to approximately 20%), including occasional overnight stays and limited conferences or off-site meetings.
